Administrative Assistant
Job Title: Administrative Assistant – Registrar
Classification: Classified, Non-exempt
Reports To: Building/Program Administrator
This position provides administrative support to building administration to ensure efficient day-to-day operations. Responsible for managing and distributing enrollment information, organizing and scheduling appointments, and planning meetings.
Essential Functions:
• Enrollment registration processing and assignment of fees and technology for the Virtual Program
• Communicates with families interested in the Virtual Program
• Performs Orientation for new Virtual Program families
• Collects data and counts for Virtual Count days; reports information to building administrator
• Distributes and tracks district technology to Virtual Program students
• Manages courses added to computer systems (Tyler SIS and Edmentum)
Other Job Functions:
• Manages Virtual Program student files
• Coordinates with counselors on student course completion
• Adds out-of-district courses to student transcripts in Tyler SIS for Virtual Program
• Responds to student records requests
• Creates Tech Tickets for technology issues and performs basic troubleshooting
Knowledge, Skills and Abilities:
• High school diploma or equivalent
• Two to five years secretarial experience with strong electronic communication skills is preferred
• Skilled in the operation of personal computers, software, and standard office equipment
• Knowledge of office and records management
• Ability to work independently, be highly organized, and able to prioritize work assignments
• Ability to maintain verbal and written confidential information
• Ability to follow verbal and written instruction and manage multiple tasks with frequent interruptions
• Skill in grammar, spelling, and composition of office correspondence
• Skill in problem solving
Physical/Emotional Requirements: The incumbent may be required to use the following requirements during any part of the working day: Speaking, hearing, visual, reading, writing, word processing, mobility, consistency of temperament, ability to work with a variety of problems at the same time, stamina for working long hours and in stress producing environments.
